Is AI safe for my customer data?
It can be, if it is set up carefully. The risks are real but manageable: data going somewhere you did not expect, being used to train someone else’s model, or an AI making a decision a person should make. Here is what to check, in plain English.
Where does the data go?
Most AI tools send what you type to a provider’s servers to be processed. Before using any tool with customer information, find out which company processes it, which country it is stored in, and how long it is kept. Business versions of the main AI services usually offer better terms than the free consumer versions.
Is it used to train the AI?
Some free tools use what you type to improve their models. For customer data, choose providers and settings that keep your data out of training. When we build for clients, we choose those options where they exist and confirm them in writing.
What UK GDPR expects
- Only use the personal data you actually need
- Tell customers how their data is used, in your privacy notice
- Have a proper agreement with any company processing data for you
- Keep people, not machines, in charge of decisions that seriously affect someone
- Be able to delete data when someone asks
This guide is general information, not legal advice. The Information Commissioner’s Office publishes clear guidance on AI and data protection if you want to go further.
A sensible set-up
Keep personal data to a minimum, use business-grade providers, record what the AI does, and keep a person approving anything important: refunds, medical or legal questions, and anything to do with money or safety. That covers most of the risk for a small business.
Questions to ask any AI supplier
- Which providers will process our data, and where?
- Is our data used to train AI models?
- How long is it kept, and can we delete it?
- What can the AI do without a person approving it?
- Do we own what you build, or are we locked in?
